If most of your enquiries land on WhatsApp, a WhatsApp Business auto-reply is the first thing everyone tells you to set up — and up to a point they are right. The free WhatsApp Business app gives you a greeting message, an away message and quick replies, all built in, all free, all doable in ten minutes on your phone. For a one-person business in Singapore that cannot watch the chat all day, that is a real improvement over leaving people on read.
But it pays to know exactly what these tools do before you lean on them. A greeting and an away message are canned text: the same words to every customer, no matter what they asked. This guide walks through setting up each one properly, then is honest about where a whatsapp auto reply in Singapore stops helping and starts costing you the enquiry.
What the WhatsApp Business app actually gives you
The tools live in the free app under Settings, then Business tools. There are three, and it is worth being precise about each, because they solve different problems and people tend to blur them together.
- Greeting message: fires once when a brand-new customer messages you, or when someone returns after 14 days of silence. It is a hello, not an answer.
- Away message: fires automatically outside the hours you set — after closing, on Sundays, over a public holiday. It buys you time when you genuinely cannot reply.
- Quick replies: short saved messages you pull up with a shortcut while you are typing, so you are not retyping your address or price list twenty times a day.
Setting up your greeting message
This is the quickest win. In the WhatsApp Business app:
- Open Settings, tap Business tools, then Greeting message.
- Toggle Send greeting message on.
- Tap the message to edit it. Keep it short and set an expectation you can keep — 'Hi, thanks for messaging [Shop]. We usually reply within a few hours during opening times, Mon to Sat, 10am to 7pm.'
- Under Recipients, choose Everyone, or narrow it to people not already in your contacts if you only want new enquiries greeted.
- Save.
One honest note about the WhatsApp greeting message: it only fires for genuinely new or long-dormant chats, so a regular who messages you every week will never see it. Do not treat it as your standard reply — it is a doormat, not a conversation.
Setting up your away message
The away message is the one most Singapore owners actually rely on, because it covers the evenings and Sundays when nobody is at the counter.
- In Business tools, tap Away message and toggle Send away message on.
- Edit the text and be specific about when you will reply — 'We're closed now and will get back to you on the next working day. For anything urgent, call 8466 3236.'
- Set the Schedule: Always send, Custom schedule, or Outside of business hours (which uses the opening hours on your business profile, so fill those in first).
- Pick your Recipients, usually Everyone.
- Save, then message the number from another phone after hours to confirm it fires.
A common mistake: leaving the schedule on Always send while testing, then forgetting to switch it back. Now every customer gets 'we're closed' at two in the afternoon while you are standing right there behind the counter.
Quick replies: the underused one
Quick replies are the sleeper feature. They do not fire on their own — you trigger them — but they save the most time day to day.
- In Business tools, tap Quick replies, then add a new one.
- Write the message — your full address with the nearest MRT, your standard price list, or your PayNow details.
- Give it a shortcut you will remember, like /address or /price.
- In any chat, type '/' and pick the reply, or type the shortcut to drop it in.
Build five or six for the questions you answer most. It is still you doing the replying, but it turns a two-minute retype into two taps — worth doing even if you never touch anything fancier.
Where canned auto-replies quietly fall short
Here is the part the setup guides skip. Every one of these tools sends fixed text. None of them read the question.
A customer messages at 9pm: 'Do you have a slot this Saturday for a full colour, and how much?' Your away message replies: 'We're closed, we'll get back to you.' She asked a real question with two parts — availability and price — and got a notice that you are shut. By the time you open on Monday she has messaged two other salons, and one of them answered on the spot.
- They cannot answer a question — a greeting or away message says hello or goodbye, never your actual price.
- They cannot qualify a lead — they never ask what she needs, her budget, or which branch.
- They cannot book — they cannot look at your calendar or hold Saturday 11am.
- They fire the same words at everyone — a first-time buyer and a loyal regular get identical text.
An away message tells a customer you are closed. It never tells her the one thing she messaged to find out.
For after-hours acknowledgement, that is fine — better than silence. As your front line for enquiries that arrive while you are busy or asleep, it leaks leads. And in a market where the first business to actually answer usually wins, that leak is expensive.
The gap: an auto-reply that actually replies
The jump worth understanding is from canned text to something that reads the message and responds. Instead of 'we're closed', an AI assistant on the same WhatsApp number can pull your Saturday availability, quote the colour price from your own list, ask whether she wants morning or afternoon, and hold the slot — at 9pm, without you touching your phone. That is a different category of tool from a greeting message, and it is worth being clear which one you are buying.
That is where microcrew fits. It sits on your WhatsApp and Telegram number and replies in seconds, in the customer's language, from your own prices and documents — qualifying the enquiry and booking into your calendar, then handing the chat to you the moment something needs a human. It is PDPA-conscious: NRIC and card numbers are stripped before anything is stored, and the processing runs in Singapore. It is not there to replace your greeting message — keep that — but to stop the away message being the last thing a good lead hears. If you want the deeper how-to, we wrote a separate guide to adding AI to WhatsApp Business.
So set up all three native tools this week: the greeting, the away message, and a handful of quick replies. They are free, they take ten minutes, and they beat silence. Just be clear-eyed that they buy time rather than close enquiries. When you are ready for the number to answer, qualify and book on its own, that is the next step — microcrew runs 50% off the first month, and you can start a chat on WhatsApp at +65 8466 3236.
